What are the different pipeline stages in franchise development and how are they automated?

July 27, 2026

Franchise development follows a fixed sequence of eight stages: lead capture and pre-screen, intro/discovery call, application, FDD issuance and the 14-day review period, franchisee validation, Discovery Day, franchise agreement execution and initial fee, and onboarding handoff to operations. That order is not flexible — application always precedes FDD issuance, validation and Discovery Day come after the FDD window, and signing happens last. Getting the sequence wrong signals to candidates that you don't know your own process.

Most deal loss happens not because the candidate was unqualified, but because follow-up stalled between stages. A rep moves a lead to "application received" in the CRM and nothing fires. The candidate submitted the form and heard silence. That gap — between a stage transition and the next meaningful touchpoint — is where franchise deals go cold.

Automation solves this by treating each stage transition as a trigger. When a lead moves from intro call to application in your CRM, a stage-specific agent launches and starts engaging the candidate: following up on the open application, answering questions about next steps, keeping the conversation alive. When the application is complete and the stage moves to FDD issuance, a different agent takes over — checking in during the 14-day review window, answering questions about territory, fees, and royalty structure, and nudging toward franchisee validation calls. A Discovery Day agent then handles confirmations, logistics questions, and timed reminders. Each agent is built for the specific goal of that stage, not a generic bot running the same script from lead capture through signing. A rep can step into any of these conversations at any moment — the instant they send a manual message, the agent for that stage shuts off and the rep is driving. The next agent activates automatically when the CRM stage transitions.
